Answer to Question 1

Here are the four rules of the Merck face-to-face communication approach:
1 . Be candid. Any questions or comments that arise during the face-to-face interactions should be addressed truthfully.
2 . Be prepared. Ask participants to submit questions or topics for discussion several weeks or days before the meeting is scheduled to occur.
3 . Encourage participation. Conduct the face-to-face meeting in a relaxed and friendly atmosphere where people feel comfortable expressing their ideas.
4 . Focus on listening, not judging. When sensitive topics arise, try not to appear upset or judgmental.

Answer to Question 2

The key to conducting a good performance appraisal interview is to start with clear objectives, focus on observable behavior, and avoid vague, subjective statements of a personal nature. Because employees are often uneasy about the review process, managers must take care to be objective in their rating of performance. One way to reduce employees' discomfort is to let them know in advance how the process works and what to expect during the performance appraisal interview. Employees are most likely to have a favorable impression of the process when they are aware of the evaluation criteria used, have an opportunity to participate in the process, and are able to discuss their career development.
