Proofread the document onscreen, concentrating first on errors in content, organization, and style. To locate errors, ask the following questions:
a . ContentIs the information complete? Have I included all the details the receiver needs to understand the message and to take necessary action? Is the information accurate? Have I checked the accuracy of any calculations, dates, names, addresses, and numbers? Have words been omitted?
b. OrganizationIs the main idea presented appropriately, based on the receiver's likely reaction (deductive or inductive organization)? Are supporting ideas presented in a logical order?
c. StyleIs the message clear? Will the receiver interpret the information correctly? Is the message concise and written at an appropriate level for the receiver? Does the message reflect a considerate, caring attitude and focus primarily on the receiver's needs? Does the message treat the receiver honestly and ethically?
