Explain the impact on special mail when it is not registered at the point of delivery.

Answers will vary; however, students' responses should include the use of a mail register. If a mail register isn't available, one should be created to include columns for date and time received, sender's name, and recipient's name.

Their responses should also include the issues of mail being delayed or lost in the stacks of other incoming mail. Delays can cause loss of an important contract and loss of customer confidence in the organization. Missed special mail can cause an office professional his or her credibility within the organization.

Answer to Question 2

Distinguish between a straight-digit filing system and terminal-digit filing system.

Straight-digit filing shows digits usually run together on the label; however, they are read by groups of digits from left to right. For example, if the folder is labeled as 915267, then it is read and filed as 91-52-67.

Terminal-digit filing divides numbers into groups of digits that point to the location of the records. If the folder is labeled as 915267, then it is read and filed as 67-52-91.
