Safety is maintained by having antivirus software and firewalls installed on the network file server and individual work stations. Passwords add a level of protection for access to authorized users. The network administrator may also restrict access to files and to Internet Websites, and has the authority to make changes to the system. Files being sent over the Internet can be searched and cleaned on metadata. Encryption technology can also be used to protect access to information by provided the recipient with the password to access transmitted files and documents.

Passwords should be changed on a regular basis as a security measure in the law firm. Employees come and go and their passwords should be destroyed. Employees can be lax, leaving the password in plain sight for others to use inappropriately. Finally, passwords can be stolen by someone watching as they are keyed in.
